Terms of Service & Refund Policy

Who we are, and who you are buying from

DraftTakeoff is an automated service operated by an independent engineer, trading as DraftTakeoff. It is not a company, a licensed engineering firm or a licensed surveying practice in any US state.

Your purchase is made from Polar Software, Inc., our merchant of record, under Polar's buyer terms. Polar takes the payment, applies any sales tax due where you are, issues the receipt and a tax-correct invoice for every order (add your company name, tax ID and billing address yourself in Polar's customer portal; the link is on your receipt), and handles payment disputes and card matters. These Terms govern the service itself and what you may do with what we deliver. If the two documents disagree about the payment, Polar's terms win; about the service and the files, these win.

Legal notices: [email protected]. This is a notice address, not a support desk — see Automation below for why there is none.

Who may order

By ordering you confirm that you are at least 18, that you are ordering for business or professional use and not as a consumer, and that you have the right to upload the drawings you send — that they are yours, or that their owner permits you to have them measured. We never see the designer's licence; you are the one who holds it.

What you are buying

Measured quantities. A first-draft quantity takeoff measured from the drawings you upload, every line traced to its sheet with the calculation behind it (any line without one is named in the Confidence Report), delivered as a package of files — a workbook, PDF reports and editable copies, as listed for the product you buy. Every line carries a confidence grade showing how firmly it is supported; lines resting on a basis to confirm are highlighted so you can see where to spend your review time. Reference rates are an optional add-on you may choose before paying, described in the next section; the measured quantities are what every order buys.

The package is produced by software, including AI models that read your drawings. No person reviews the output before it is delivered to you. Automated checks refuse a package that fails them; they do not make one correct.

This is a measurement to check, not a bid to submit. Nothing we deliver should be priced into a bid, a budget or a contract without your own verification against the full drawing set.

Reference rates, and what you accept before you pay

We sell two products. The Full Draft Takeoff Pack measures every trade in your set. The Trade Draft Takeoff Pack measures only the trades you select and is the same package with every other trade left out; its price is your trades' share of the Full Draft Takeoff Pack price for your whole set — that price multiplied by your trades' billed drawing sheets and divided by the set's billed drawing sheets, rounded up to a price ending in 9, never less than $149 and never more than the Full Draft Takeoff Pack. Where a figure in the package describes the whole project, a Trade Draft Takeoff Pack shows only what can be worked out for your trades and says in the file what is left out and why.

Before paying you choose one of two. Reference rates are in Beta: $0 on orders placed up to and including 31 December 2026, and a paid add-on from 1 January 2027, shown in the fee before you pay:

Every order asks you to tick these words before the payment page opens, and the version you accepted is kept with your order.

Listed, not measured. Some work in a drawing set is priced by its supplier from the supplier's own design rather than measured from the drawings. This package lists that work but does not measure it. The published list is: elevators and lifts; food service and kitchen equipment; equipment (Division 11); and furniture, furnishings and equipment (FF&E). Where your drawings or their schedules give a count, the workbook lists each item with that count; it never measures or guesses a dimension, and you price the item yourself, usually with a vendor quote. Before you pay, the order page shows which of these families it found in the sheets it could read, and every order asks you to accept that work from them — the ones shown, and any other family on this list found once your sheets are read in full — appears in the workbook as listed, not measured, for you to price, and that this is not a fault in the package. Their sheets are billed like any other drawing sheet. If more than half of the billed drawing sheets in your set belong to these families, we do not take the order: the checkout declines it and nothing is charged.

What you are not buying

No warranty

EVERYTHING WE DELIVER IS PROVIDED "AS IS" AND "AS AVAILABLE", WITHOUT WARRANTY OF ANY KIND, EXPRESS OR IMPLIED. THERE IS NO IMPLIED WARRANTY OF MERCHANTABILITY OR OF FITNESS FOR A PARTICULAR PURPOSE, AND NO WARRANTY OF ACCURACY OR COMPLETENESS. We do not claim any quantity is correct, complete or suitable for any purpose. Every quantity is yours to verify before you rely on it.

Launch pricing

The prices shown on our site up to and including 31 December 2026 were introductory launch prices; from 1 January 2027 the regular price of each product applies, and the site shows whichever is current on the day you read it. The regular price was never charged before that date — it is the price this service is going to, not a price anyone was previously charged, which is why nothing we publish describes either as a discount, a saving off a former price, or a sale.

Your price is locked when you order. The price shown before you pay is the price you are charged, before any sales tax that Polar collects where it applies, and it does not change if launch pricing ends between your order and your delivery. If we extend launch pricing we will say so on the pricing page with the new date; we will not run it indefinitely under a rolling deadline.

What the fee is counted on. The fee is set by the number of drawing sheets we bill: plans, elevations, sections, details and schedule sheets, at any paper size. The cover, sheet index, general notes, code summary and symbols or legend sheets — numbered in the G, T or CS series or in each discipline's 0-series, such as A0.1 or E001 — are read for the analysis and not billed, and neither are specifications, addenda, reports or any other document. A sheet in any of these series titled as a plan, detail or schedule, such as T-101 TELECOM PLAN or A0.1 SITE PLAN, is billed. A sheet whose number or title we cannot read is counted as billed. The count shown before you pay is the count you are charged on, and the fee is a fixed price for the whole job, both ways: it is not re-priced afterwards in either direction. If our reading after payment finds more drawing sheets than were counted, we measure them all at the fee you paid; if it finds fewer, the fee stays as agreed. If the files we receive are not exactly the files that were counted, we measure the files we receive. A Trade Draft Takeoff Pack is counted on two figures, both shown before you pay and both fixed the same way: the billed drawing sheets of your whole set and those of the trades you select.

Where we work

Projects in any country. Every takeoff is delivered in the US format — feet, square feet and CSI divisions — with code cross-checks and durations on a US basis, not converted for the country where the project stands. Reference rates, where you choose them, are US rates in USD and are not adjusted for your country. For a project outside the United States you accept this before you pay, with its own tick on the order page; it is a limit of this service.

What we decline, and when

Before you pay, the checkout itself refuses an order we cannot take: a project outside the United States whose US-format acceptance (see Where we work above) is not ticked, a use we do not support, a set larger than our automatic sheet limit, a set whose billed drawing sheets are mostly work we list but do not measure (see Listed, not measured above), an email address that has not been confirmed, or an address that has reached the refund limit set out under Refunds below. Nothing is charged. A building type we hold no published cost rate for, work on an existing building, or a civil set is not a reason to decline: the quantities are measured from your drawings, and only the Project Overview's benchmark cost box is left out.

After you pay, and before anything is measured, your files are opened and checked. Only the files that reach us complete and readable are measured. A file that is missing, arrives incomplete, cannot be opened or is not a type we measure is not measured: the quantities, and any reference rates, then cover only the files we could use, and your package names each file we could not use and why, under Files we could not use. We go ahead with the files that can be used rather than wait for another copy, and every order asks you to accept this before the payment page opens. If none of your files can be used, they contain no drawings, are specifications only, or fall outside the work we can measure, the order is refunded in full automatically and you are told why — you do not have to ask. If no file reaches us at all, the order is refunded in full and the email says that we received no files. Where your set holds more than one print of a sheet, we measure the latest revision, as an estimator would: an addendum's print first, then the higher revision mark, then the later title-block date. A sheet that was never reissued is measured from the original. Where nothing on the prints shows which is current, we measure the first print in your set as the original and list that sheet for you to confirm with the designer. The earlier print is set aside, and the workbook's Drawing Register says which replaced which. By ordering you accept this as the basis of the takeoff. The count your fee was set on is not checked again to re-price it, as set out under What the fee is counted on above.

Either way, declining costs you nothing. It is deliberately easier for us to decline than to take an order we cannot complete.

Refunds

Full refund before your first download. Until you first download your package, ask and you get the whole amount back; we do not ask why. The first download is recorded, and after it the package is yours: a request is not refunded. A refund caused by us — a date we missed, a set we could not read, or a package our checks stopped — is automatic and has no time limit. Your card issuer's own rights are unaffected.

You ask on your order page, with your order code and the email address you ordered with; there is no support desk to negotiate with, by design, and a refund is the honest answer when a conversation is not available. Pressing a download button on your order page — for the ZIP, or for any file on its own — is the first download. The delivery email links to your order page, not to the files, so a mail system that opens links to check them cannot download anything in your name, and opening the order page is not a download. The date and time of the first download, and how many times the package was downloaded, are all we record about it; that record is what decides whether a request is refunded, and if it cannot be read, the request is treated as made before the first download. The sample package on our site shows what you will receive, so you can judge it before you buy.

A package refunded on request is withdrawn and its download link stops working. An order placed before this rule took effect keeps the refund terms that applied on the day it was placed, and its order page shows the date its refund on request closes.

If you bought reference rates and no line of your package received one, that add-on is returned in full without being asked, and the rest of the order stands. It is the only part refund the add-on carries: fewer priced lines than you hoped is not a fault in the package. Reference rates chosen on an order placed up to and including 31 December 2026 cost $0 during the Beta, so there is no add-on to return.

A reference rate that differs from your own price, a supplier quote or a bid result is not a fault in the package and is not a ground for refund.

If we fail to deliver within the stated time, if we cannot process your files, or if the work does not pass our own safety checks, we refund without being asked. Refunds are issued through Polar to the card you paid with; the timing of the money reaching your account is your card issuer's.

Safety checks and quality flags are different things. A package never leaves us if it fails a safety check — another order's data inside your file, a formula that does not compute, a total that is wrong, a unit from the wrong country. Those are refunded, not sent. A quality flag is different: a quantity we could not evidence as well as we would like, usually because a sheet was not sent, a detail carries no dimension, or a scan is too poor to measure. Your package is delivered with every one of those named in the Confidence Report, saying which lines are affected and what to check — and it is not refunded on that account, because the work is real and its limits are stated.

What the promise is not. It is not a way to read a workbook for free. After two refund requests within thirty days, or three in total, we stop accepting new orders from that email address. Refunds already made always stand, and a refund we issue ourselves — a job we could not process, a date we missed, a package our own checks stopped — never counts against you.

So that the limit also applies to one buyer using several email addresses, we keep one-way hashed signals, never the raw values: of your email address, of the network address you ordered from, and of the drawing files you upload. If a new order matches a buyer who has asked for two or more refunds, on the email address or a drawing file (the network address alone never decides), we still take the order, but it does not carry the refund on request, and the checkout tells you so before you pay. A refund we issue ourselves still applies to that order.

Turnaround

A guaranteed 48 hours, counted from cleared payment — including weekends and holidays. Rush — offered at checkout at 40% of the fee, rounded to the nearest five dollars and shown before you pay — is a guaranteed 24-hour date from cleared payment. The date holds because our system keeps a measuring lane reserved for Rush orders, so a Rush order goes to the front of our queue and never waits behind standard work. Rush buys that date: the work, the method and the checks are identical to a standard order.

If we miss the date you were quoted, the order is refunded in full without you asking. That applies to the Rush surcharge and the product price together, not the surcharge alone. An order keeps the delivery time shown when it was placed, whatever the site says later.

Your drawings, and where they go

We do not sell, share, or publish your drawings, and we do not use them as examples. Here is exactly where they travel, because "never leaves our hands" would not be true and you should know what is:

Nothing else touches your files: no online conversion service, no file-sharing site, no third-party storage outside the accounts named above.

We do keep the work we produce from them — the measured quantities and the priced output — to improve the system. We are telling you this plainly rather than burying it, because keeping it without saying so would be the wrong thing to do even where it is permitted. Your original drawings are deleted 2 days after your package is delivered. The uploaded copy is removed from our storage by a rule of that storage 2 days after upload, rather than by a program remembering to; the working copy on the machine that measured it is deleted 2 days after the order closes. We have no reason to keep them: a refund never requires us to re-open them, and nothing else in this service does either. The download link for the package itself stays live for 30 days. The package includes marked-up images of the pages we measured, so it is deleted when that link expires. The Quantity Model, included whenever the takeoff records where its lines were measured (where it cannot be built, the README says why), is a schematic view of our measured quantities, provided for checking those quantities only; it is not a design, BIM or as-built model, and must not be used for construction, coordination or design.

Who sees your package

You. The person who runs this service may open a delivered package for quality review — the same file, through the same private link — and nobody else. It is never sent to a third party, never used as an example, and never shown to another bidder.

Your information

We hold your email address, your order record (what you bought, when, and the file names you sent), the package we delivered, and when that package was first downloaded and how many times (not who downloaded it or from where). We also keep one-way hashes, never the raw values, of the network address you ordered from and of the drawing files you uploaded, to apply the refund limit described under Refunds. We use all of this to deliver the order, to decide and issue a refund, to apply that limit, and to answer a status query on the order page. We do not send marketing mail and we do not sell or share this information. Order records are kept for as long as tax and payment rules require. Ask at the notice address above to see or delete what we hold on you, and we will, except where a payment record has to be kept.

What is yours and what is ours

Your drawings are yours and stay yours. The workbook, the reports and every document we produce from them are our work, and with your order you receive a licence to use them for the project you ordered them for, for as long as you like, inside your own business, including sharing them with your own client, subcontractors and consultants for that project. They are not for resale or redistribution as a product. Each document carries a notice saying so.

Automation

Everything from receiving your files to delivering the result runs by software, without a person in the loop. There is no support inbox, phone line or account manager, at any price. That is why our checks refuse readily and why a refund before the first download needs no reason (unless the checkout said before payment that the order does not carry it): those are the mechanisms that stand in for a conversation we cannot have. Questions about a payment, a receipt or a charge go to Polar, whose details are on your receipt; an invoice in your company's name is set up by you in Polar's customer portal, linked from the same receipt.

Limitation of liability

TO THE FULLEST EXTENT PERMITTED BY LAW, OUR TOTAL LIABILITY FOR ANY CLAIM ARISING FROM YOUR ORDER OR YOUR USE OF WHAT WE DELIVER IS LIMITED TO THE AMOUNT YOU PAID FOR THAT ORDER. WE ARE NOT LIABLE FOR INDIRECT, INCIDENTAL, SPECIAL OR CONSEQUENTIAL LOSS OF ANY KIND, INCLUDING LOST PROFIT, LOST TENDERS, OR COSTS ARISING FROM A BID, BUDGET OR CONTRACT PRICED USING OUR OUTPUT.

Some jurisdictions do not allow certain limitations; where that is so, these limits apply to the extent they are permitted, and nothing here takes away a right you have under a law that cannot be excluded.

Governing law

These Terms are governed by the law of Thailand, where the service is operated. Your purchase from Polar is governed by Polar's own terms. If a dispute cannot be settled by the refund that these Terms already promise, we each agree first to try to resolve it in writing before any court is involved.

Changes to these Terms

An order is governed by these Terms as they stood on the day it was placed; a later change does not reach back to it.
